Regulations of participation in the Classic Poland event
§ 1
Definitions
Classic Poland (hereinafter also referred to as “CP”) – an entertainment and sports event consisting of covering road sections by car, in accordance with the scenario provided by the Organizer. CP will take place from August 27th to 30th, 2026.
Organizer – The Organizer of the event is RR Robert Rasiński, based in Warsaw. Information about the organizer is available on the website www.clasicpoland.pl, contact info@classicpoland.pl.
Participant – a person accepted by the Organizer to take part in the event, who has read and accepted the event regulations and undertakes to comply with them throughout the entire duration of the event.
Road Book – a document that strictly defines the type and nature of tasks and the route to be covered, as well as the scoring rules. This information is provided to Participants at the start or during briefings to ensure equal chances for all teams entering the event.
Team Card – a card included in the starting documentation, containing information about tasks completed by the given team and the number of points earned. One card is issued per team for the entire event.
Checkpoint – a location suggested by the Organizer as a stage of the route that must be visited in order to gain a certain number of points or confirm arrival/time.
Task – activities, challenges, and sports competitions defined by the Organizer’s specific rules, based solely on which Participants can earn points that count toward the event classification.
Pit Stop – the endpoint of a specific stage/day of the event. Participants are entitled to rest, high-quality accommodation, a meal, and participation in evening events provided by the Organizer.
Final – the closing location of the event where the award ceremony and final gala take place.
Classic Staff – the route support crew appointed by the Organizer, present at each manned checkpoint, responsible for scoring tasks/times and ensuring the safety of Participants by providing instructions regarding the route, driving, task rules, etc.
§ 2
General information
- These regulations constitute a binding set of rules which Participants are obliged to follow throughout the entire duration of the event.
- The Organizer places the highest importance on the safety of Participants during the entire event, compliance with the laws in force in the territory of the Republic of Poland, particularly road traffic regulations, and the prohibition of possession of dangerous or prohibited products and substances.
- The Organizer reserves the right to exclude any Participant who violates the provisions of these regulations or the laws in force in the Republic of Poland, especially road traffic regulations, the prohibition on the possession of dangerous or prohibited products or substances, public order regulations, or who engages in behavior generally considered dangerous.
- Conditions for admission to the event include: meeting legal requirements in force in the Republic of Poland, including but not limited to vehicle roadworthiness for operation on public roads, and the qualification of vehicles and crews carried out by the Organizer in accordance with § 3 sec. 1–4.
- The crew and the registered vehicle may be disqualified from participation in the event without providing a reason.
§ 3
Qualification
- Only the following individuals may participate in the event:
a) a person who has accepted the event regulations,
b) a person who is at least 18 years old on the day the event begins,
c) a person whose application to the event has been accepted and confirmed by the Organizer,
d) a person who has made the payment (as referred to in § 5 sec. 1) within the deadline set by the Organizer,
e) a person who has submitted and confirmed a statement that they have read and understood the event participation regulations, - In all cases, the final decision on the qualification or disqualification of a crew rests with the Organizer.
- The Organizer accepts applications from persons:
a) who meet the conditions specified in § 3 sec. 1 items a. and b.,
b) who declare that the vehicle submitted for participation in the event has valid technical inspection and current third-party liability insurance (OC),
c) who declare that they hold a valid document entitling them to drive the registered vehicle (driver’s license), or that at least one member of the Crew possesses such a document. - The Organizer confirms receipt of the application by phone or email, informing the Participant of the conditions for collecting materials and equipment necessary to participate in CP.
- The Participant takes part in CP using their own vehicle, registered in the name of the Participant or one of the Crew members. Participants may take part in CP using a vehicle belonging to a third party, provided they have written consent from the vehicle’s owner.
- The Participant may only take part in CP with the vehicle they registered. Changing the vehicle during the event is not allowed without the Organizer’s consent.
- Participants whose applications have been accepted may not, in the event of resignation or inability to continue in CP, transfer their right to participate to another person without the Organizer’s written consent.
- Third parties who are not Participants may not assume the rights of Participants.
- A Participant as defined in § 1 may not be replaced during the event.
- The Organizer reserves the right to exclude a Participant in accordance with § 2 sec. 3 and in the case specified in § 6 sec. 5.
§ 4
Participation rules
- Completing tasks, identifying, and locating checkpoints along the route is based on specific information provided to Participants by the Organizer in the form of a “Road Book”.
- Participants receive the “Road Book” at the start of the first leg of the route or during the briefing and are obliged to follow the instructions therein until the end of the event.
- Failure to comply with the instructions in the “Road Book” may result in the task not being completed, no points being awarded, or, in extreme cases, disqualification from the competition and the event itself, with no refund of incurred costs or fees.
- All competitions/tasks along the route are based on mutual sporting rivalry between participants, are scored with points, and are primarily based on:
- carrying out actions strictly defined by the Organizer, relying on the physical and intellectual skills of the participants,
- traveling between designated points of the route in accordance with traffic regulations.
- Tasks must be performed in accordance with the laws in force in the Republic of Poland (especially traffic laws), without endangering oneself, others nearby, or third parties in any way.
- The number of points that each crew can earn is indicated in the “Road Book” for each task individually or during the briefings.
- The completion or failure of a task is determined by the Classic Staff and the Organizer.
- Points earned on the route while performing tasks are entered into the crew’s card exclusively by the route staff (Classic Staff) at the task location. If route staff are not assigned to a task location, the task must be verified at the CP organizer’s office at the end of the stage (Pit Stop).
- The crew card must be submitted to the CP organizer’s office at the end of each stage (Pit Stop). Failure to do so will result in none of the tasks completed during that stage being recognized, unless stated otherwise in the “Road Book”.
- Classic Poland is divided into stages. In each stage, the Participant/Crew must reach the checkpoints designated by the Organizer in the “Road Book”. Each stage ends with a “Pit Stop”. The final “Pit Stop” marks the end of CP.
- Based on the points collected along the route, the Organizer will create a general classification of crews during the CP finale, select the winning crews, and award special distinctions.
- The final classification of crews is based on:
- the total number of points earned, including points converted from travel times,
- the number of tasks completed along the route,
§ 5
Fee
- Participation fees are calculated according to the packages available on the Organizer’s website, based on the options selected by the Participant.
- Each Participant is obliged to pay the fee referred to in § 5(1) within 7 business days from the date of notification of acceptance of the application. The Organizer will inform the Participant about the available payment methods, how to collect the documents required for participation in CP, and the procedure for finalizing registration. The payment must be made no later than 7 days before the event starts, otherwise the Participant will not be allowed to take part.
- Upon receipt of payment, the Participant will receive confirmation of participation via email from the Organizer.
- If the Participant withdraws from CP due to reasons attributable to them, the Organizer will not refund the fee, expenses, or any other costs incurred by the Participant, regardless of circumstances.
- If the Participant is unable to continue participating in CP due to reasons attributable to them or for reasons beyond their control but not attributable to the Organizer, the Organizer will not refund the fee, expenses, or any other costs incurred by the Participant.
- If the continuation of CP is not possible due to the fault of the Organizer, the Organizer will refund the Participant:
- on the day CP starts – 100% of the paid fee.
- on the second and subsequent days of the event – a proportional amount of the fee calculated for each remaining and unused day.
- If CP is canceled by the Organizer, the paid fee will be refunded to the Participant within 14 days from the date of the cancellation announcement, under the terms specified in the announcement.
- If CP is canceled or cannot be continued due to reasons stated in § 7(1), the Organizer will not refund the fee to the Participants. The Organizer will make every effort to resume the event as soon as possible after the reasons for interruption or cancellation have ceased, and the Participants will be informed in advance.
- If a Participant is disqualified from the event pursuant to § 2(3) or in the case referred to in § 6(5), the Organizer will not refund the fee, expenses, or any other costs incurred by the Participant.
- The participation fee includes the cost of:
- Accommodation in premium-standard hotels,
- All-day catering service,
- Alcohol sampling during evening events,
- Unique vehicle branding,
- Support for checkpoints, rally stages, and organizational logistics,
- Materials provided to Participants, necessary for participation and completion of CP,
- Accident insurance,
- Basic medical assistance throughout the event,
- The fee does not include:
- Fuel costs used by Participants during CP,
- Transportation-related fees such as road tolls, ferry tickets, parking, and any other costs incurred along the CP route,
- Telecommunication costs such as phone calls and internet usage,
- Repair costs and other unforeseen expenses that may arise during CP,
- Additional expenses by Participants at “Pit Stops” and during the event finale,
- Costs related to damages caused by the Participant during CP,
- Any other costs not listed in item 10.
§ 6
Participant
- The Participant of CP undertakes to comply with the laws in force in the territory of the Republic of Poland, with particular emphasis on traffic regulations.
- The Participant undertakes to give the highest priority to the safety of themselves, their Crew, the vehicle used in CP, and all third parties who may come into contact with the Participant or be accidentally involved in any element or event of CP.
- The Participant is solely responsible for any damage caused to third parties, damage to equipment used during CP, damage to facilities arranged by the Organizer for stops or accommodation, and for any legal violations. The Organizer shall not be held liable for any such damages caused by the Participant.
- The Participant undertakes to cover all repair costs resulting from their actions or omissions during the event.
- The Organizer reserves the right to exclude a Participant from CP in the event of immediate failure to resolve formal matters related to any damage, or failure to submit a written declaration of intent to resolve such matters at a later date, with the right to enforce these obligations afterward.
- Any equipment, communication, or weather-related issues are considered inherent risks of participation in CP. The Participant must handle these issues on their own, in accordance with their needs and judgment, without Organizer support. The Organizer only provides basic technical and medical assistance.
- The Participant agrees not to violate any rules or codes of conduct established at stopover locations or along the CP route and commits to behaving in accordance with generally accepted norms of conduct and courtesy.
- The Participant undertakes to strictly follow the prohibition on possession of dangerous or illegal substances and products.
- The Participant agrees to the placement of official CP and sponsor logos on selected parts of their vehicle by the Organizer. The Participant undertakes not to destroy, cover, remove, obscure, or in any way alter the appearance of these logos. They shall make every effort to preserve the logos in good condition. The logos will be applied in a temporary and removable manner, without damage to the vehicle, in accordance with both Organizer and Participant guidelines. Therefore, the Organizer shall not be held liable for any damage caused during logo removal.
- The Participant may not place their own logos on the vehicle without the Organizer’s prior approval. Unauthorized logos may result in disqualification from the event without reimbursement of any costs, fees, or expenses incurred by the Participant.
- The Participant agrees not to use the Classic Poland logo or any other logo owned by the Organizer, Partner, or Sponsor of the event for any purpose without written consent from the Organizer. This includes, but is not limited to, the presentation of logos on the Internet, printed materials, magnetic or optical recordings, analog or digital formats, on all types of media including audio/video, paper, magnetic, optical, disk-based, memory chips, or any digital storage media.
- The Participant consents to being filmed, photographed, and recorded by the Organizer and grants the Organizer a free license to distribute their image and vehicle in promotional and advertising materials arising from these activities.
- The Participant consents to the use of their personal data solely for statistical, organizational, and promotional purposes of the Organizer, with the right to modify such data at any time in accordance with the Personal Data Protection Act of August 29, 1997 (Journal of Laws 2002, No. 101, item 926, as amended).
- Any material (photos, videos) created by the Participant during CP that includes distinctive elements of CP may be used for non-commercial purposes only. Commercial use is permitted only with prior written consent from the Organizer.
- The Participant must start and finish CP in accordance with the Organizer’s instructions and rules.
- The Participant is responsible for any equipment entrusted to them for the duration of the event (e.g. camera, radio station, etc.) and is obliged to return it no later than on the final day of the event.
- The Participant declares they are fully aware and voluntarily participating in CP and acknowledges the risks associated with operating motor vehicles.
- All competitions and tasks carried out along the route are voluntary. The Participant undertakes them at their own and sole risk.
§ 7
Organiser
- The Organizer undertakes to make every effort to ensure the proper course of the event, except in cases of “force majeure” that may prevent CP from taking place. “Force majeure” shall mean circumstances such as: war, civil war, revolution, natural disaster, national mourning, epidemic, terrorist activities, or extreme weather anomalies.
- The Organizer is obliged to comply with these regulations during the course of CP, as well as to observe selected provisions after its conclusion.
- The Organizer of CP shall not be held responsible for any communication-related issues (traffic jams, equipment failures, etc.).
- The Organizer undertakes to comply with the provisions of the Personal Data Protection Act.
- The Organizer undertakes to treat all Participants equally and, to the best of their ability, assist in resolving any problems Participants may encounter during CP.
- The Organizer reserves the right to amend these regulations, with the obligation to inform Participants of any changes.
